This Privacy Policy explains how MARS Healthcare (“MARS,” “we,” “us,” or “our”) collects, uses, discloses, and safeguards information when you use our websites, forms, and services that coordinate diagnostic imaging with third-party imaging centers and radiology professionals (collectively, the “Services”). We are a coordination service and do not provide medical care.

1) What we do

MARS helps patients and providers obtain flat-fee, all-inclusive imaging by:

  • Preparing Good Faith Estimates (GFEs)

  • Scheduling at nearby partner imaging centers

  • Coordinating radiologist interpretation & report delivery

  • Managing logistics (prep instructions, reminders, prior images, and results routing)


2) Information we collect

2.1 Information you provide

  • Identity & contact: name, phone, email, address, date of birth

  • Order & clinical: physician order/prescription, symptoms/indication, relevant history, pregnancy status if disclosed

  • Prior imaging details: dates, locations, MRN or accession numbers (if known)

  • Scheduling preferences: preferred dates/times, location, modality

  • Uploads: documents and images you attach (e.g., orders, ID, insurance card if applicable)

  • Payment: billing contact and transaction details (processed by our payment processor)

2.2 Automatically collected (website/app)

  • Device & usage: IP address, browser, pages viewed, referrers, time stamps

  • Cookies/Tags: for site functionality, performance, and security (see Section 12)

2.3 From third parties (with permission or as allowed by law)

  • Providers & imaging centers: order information, scheduling availability, prep requirements, results routing preferences

  • Prior sites: copies of prior images/reports for comparison (when you authorize us to request them)


3) How we use information

We use your information to:

  • Prepare GFEs and present flat-fee options

  • Schedule your exam with a suitable imaging center

  • Coordinate care logistics (prep instructions, reminders, directions)

  • Obtain/route records: request prior images, deliver results to you/your provider

  • Customer support: respond to questions and assist with cancellations/rescheduling

  • Operate, secure, and improve our websites and Services

  • Comply with legal obligations, prevent fraud, and enforce agreements

We do not sell your personal information.


4) HIPAA & PHI

Depending on context, we may act as a Business Associate to covered entities (providers/imaging sites). We protect Protected Health Information (PHI) with appropriate administrative, technical, and physical safeguards and execute Business Associate Agreements (BAAs) where required.

Your PHI rights (summary)

For PHI handled by imaging centers or your provider, your rights (access, amendments, restrictions, accounting of disclosures) are generally exercised through that provider/imaging center under HIPAA. If you send a request to MARS, we’ll help route it to the appropriate entity and assist as permitted.


5) Legal bases (where applicable)

Where required (e.g., GDPR jurisdictions), we rely on consent, contract performance (providing requested coordination), legitimate interests (service security/quality), and legal obligations.


6) Sharing & disclosures

We share information only as needed to provide and support the Services:

  • Imaging centers & radiology professionals: scheduling details, applicable clinical info, and routing instructions

  • Your provider(s): orders, prior images requests, and final reports delivery

  • Payment processors: to process your flat-fee payment (we do not store full card numbers)

  • Service vendors: secure hosting, email/SMS delivery, forms, document storage (bound by confidentiality and security obligations)

  • Legal & compliance: if required by law, regulation, court order, or to protect rights/safety

  • Business transfers: in connection with a merger, acquisition, or reorganization (with continued protection of your data)

We do not disclose PHI for marketing.


7) Text messaging & email (customer-care only)

What we send: appointment coordination, estimate links, prep instructions, rescheduling help, and results routing confirmations.

  • SMS consent: By opting in on our forms, you agree to receive customer-care texts from MARS Healthcare.

  • Opt-out: Reply STOP to end; HELP for support.

  • Rates: Message & data rates may apply.

  • Frequency: Messaging frequency varies based on your case.

  • No marketing by SMS.

  • Email: We may email you for the same customer-care purposes.

8) Payments

Payments are securely processed by our payment provider. We receive confirmation of payment status and necessary metadata (e.g., transaction ID). We do not store full payment card data on our servers.


9) Data retention

  • Coordination records (estimates, scheduling, communications) are retained as needed to provide Services, comply with laws, and maintain accurate records.

  • PHI is retained per legal/contractual obligations with covered entities and BAAs.

  • Marketing analytics data (if used) is retained per our analytics provider’s standard periods unless you request deletion where applicable.


10) Your choices & rights

  • Access/Update: Contact us to access or correct your information.

  • PHI rights: For medical records managed by imaging centers/providers, contact that entity; we’ll assist as appropriate.

  • Opt-out of SMS: Reply STOP.

  • Cookies/Analytics: See Section 12.

  • Jurisdictional rights: If you reside in a region with specific privacy rights (e.g., California, EU/EEA), you may have additional rights to access, delete, or restrict processing. Contact us to exercise them.


11) Security

We employ reasonable administrative, technical, and physical safeguards (encryption in transit, access controls, role-based access, audit logs where appropriate). No system is 100% secure; please use caution when sending sensitive information and notify us immediately of any suspected unauthorized access.


12) Cookies & analytics

We may use cookies and similar technologies to operate the site (session, security), remember preferences, and understand aggregate usage. You can adjust browser settings to refuse cookies; some features may not function properly without them.


13) Children’s privacy

Our Services are not directed to children under 13. If we learn we have collected information from a child under 13 without verifiable parental consent, we will delete it.


14) Third-party links & portals

Our site may link to third-party sites (e.g., imaging center portals). We are not responsible for their privacy practices. Review their policies before providing information.


15) International transfers

If you access our Services from outside your country, your information may be processed in jurisdictions with different data protection laws. We implement appropriate safeguards where required.

We may update this Privacy Policy from time to time. The “Last updated” date will change, and material updates will be highlighted on our site or via notice.
